Administrative User Setup:
Restricting Access to a Specific Site via Bulk Management
These instructions allow a domain to quickly limit access to a specific site in bulk for privacy or security reasons. The process involves three phases: creating the restricted list, identifying the affected users, and updating their permissions in bulk.
Phase 1: Create the “Access All-Temp” Access List
- Log in to Envysion and click the Gear icon in the upper right corner.
- Select Access from the administrative menu.
- Click the Create Access List button.
- Name the list (e.g., Access All-Temp) and provide a description (e.g., “All sites excluding [Site Name]”).
- Click Update Permissions.
- Toggle the icons for every site/EnVR you wish to include. Ensure the target site you want to hide is not selected (red/unselected icon).
- Click Save Changes.
Phase 2: Export Current User Data
- Navigate to the Users section under the Gear icon.
- Use the Export tool to download a CSV of your current user database.
- Open the CSV file in Excel or Google Sheets.
- Filter the list to identify users who currently have “Access_All” access.
Phase 3: Update Users via Bulk Import
- Prepare a new CSV file for import. You can use the exported file as a template, but ensure it matches the Bulk User Management format.
- For the target users, modify the following columns:
- Access List: Enter the exact name of your new list: Access All-Temp
- Ensure that the Action column is set to “Update”
- Save the file as a .csv.
- In Envysion, go to the Users page and select Bulk User Management (or Import Users).
- Upload your updated CSV file.
- Review the preview to ensure the system recognizes the change from “All Sites” to the “Access All-Temp” list.
- Click Submit or Import to finalize the changes.
Verification
After the import is complete, audit a few individual user profiles to confirm their Access tab now shows the Access All-Temp list instead of “All Sites.” These users will no longer see the excluded site in their “Watch Video” or “Live Monitor” views.
